3 Sure Fire Signs You’ve Outgrown Your Entry Level Accounting System

Although entry level accounting systems such as QuickBooks or Peachtree are great options for new or very small businesses, as a company grows there comes a time where its needs can no longer be met by a basic accounting package.  In fact, one of the questions we hear most often from prospective customers is, “How do I know when it’s time to move from my entry level accounting system to a more robust ERP solution?”

As you can probably imagine, there are many factors to consider when you’re trying to decide whether it’s time to upgrade from your entry level accounting software to an ERP system like Dynamics GP.  This new video from Microsoft, SMB Whiteboard, How Do You Know When You’ve Outgrown Your Basic Accounting Software, quickly and succinctly describes a few of the most important factors.

  • You’re using a patchwork of solutions to get the functionality you need—One of the first things that happens when companies start to outgrow their accounting solution is they require capabilities that aren’t included in their entry level accounting software.  As a result, they wind up purchasing additional solutions to fill in the holes.  Aside from the obvious additional cost, the problem with this strategy is twofold.  First, users have to take additional time away from their main duties to learn how to use the new software.  Second, and perhaps most importantly, these disparate systems rarely communicate well with one another, leaving users to enter data multiple times.
  •  You find it difficult to track data and get the reports you need—Entry level accounting systems have much more limited reporting capabilities than ERP systems. So, to get the information you need, you find yourself having to pull data from a wide variety of disconnected sources and then once it’s collected drop all of it into yet another system, such as Microsoft Excel so that it may be analyzed.
  • You’re accounting software doesn’t respond as quickly as it used to—As I’m sure you’ve experienced when using an older computer that’s brimming with programs and data, it’s inevitable that your accounting system will slow down as its database becomes overwhelmed with records.
